- Day-to-day direct supervision/coaching of Medical Records, and case managers, including hiring/firing authority and performanc! e appraisals.
- Orientation, education and training of new site staff in non-clinical activities (assisted by HR)
- Set up training activities for staff, assuring pods are off schedule to receive training as needed and facilities are available.
- Creates and maintains a productive working relationship with the site BHPs to effectively co-manage the Case Managers.
- Manage the group visit program, assuring that groups are efficient and effective.
- Facilitate the Group Visit Committee for improved and well functioning group visits.
- Create and maintain CM schedule to assure appropriate site and group visit coverage.
- Conduct and/or oversee weekly, biweekly, and monthly audits on case management procedures, encounters and goals related to performance and health outcomes.
- Manage the operational portion of PN+ program, including staff performance and billing.
- Coach CM staff on meeting goals related to patient ! health outcomes.
- Develop and implement case managemen! t related procedures and training.
- Coach staff on issues related to high stress and emotionally sensitive job responsibilities.
- Manage facility, assisted by Purchasing/Facilities Coordinator. Manage all administrative and clinical equipment maintenance and repairs. Coordinate resolution of IT and phone problems with IT staff.
- Assure that basic information technology support is available at the site level.
- Primary contact for Pharmacy, Finance, HR, IT and other Department assuring that site-level department wide functions are handled appropriately.
- Develop and implement operations related procedures and training.
- Oversee all administrative tasks associated with the VFC, CLIA, OSHA, CWCCI and other programs, including managing injectibles and immunizations.
- Conduct and/or oversee weekly, biweekly, and monthly audits on operating procedures, encounters and charts.
- Conduct bi-annual site safety inspection a! nd safety drills.
- Verify and authorize time and attendance as authorized.
- On-site safety officer.
- Oversee that building orientation is administered for all new staff, visitors and volunteers.
- Writes up and follows up on all incidents that are operational in nature.
- Partners with Nurse Team Manager to assure high functioning teams and systems.
- Attends and actively participates in meetings as assigned.
- Reserves conference rooms as requested by staff.
- Interacts with vendors and visitors as required.
- Coordinates with Nurse Team Manager to schedule alternative visits.
- Actively seeks out initiatives for quality improvement.
- Work closely with CD and NTMs to maintains a safe work environment.
- Other duties and responsibilities as assigned by clinic leadership.
